What You Can Expect
The Commercial Operations Team Assistant supports the designated VPs with general administrative work, projects and diverse other support tasks.
How You Create Impact
- General administrative support of VP’s located in EMEA
- Coordination and management of calendar and appointment-follow-ups
- Travel booking, expense report submission
- Coordination of tasks with on-site administrative Assistants when necessary (on-site large meetings etc)
- Correspondence with our subsidiaries when required
- Signatures & forwarding to correct departments, absence management (SAP), financial approval process, tracking payments and invoices, monitoring accruals, general correspondence and subscriptions
- Coordination and organization of international business trips, booking of flights, ground transfer and hotels via concur or with local entities.
- Getting the necessary Visa for the travel with visa office or embassy ( or send Erik necessary info if to be done in person)
- Coordination of conference calls, meetings and activities for the VP EM EMEA and/or other Dept. members
- Daily correspondence and telephone contact in several languages with department.
- General, all-round administrative support for the VP & Dept. Members - (filing; archiving; couriers; office supply orders; facility issues, etc.)
- Supporting with legalisation of documents; supporting with signature for corporate Legal
- General collaboration with the Finance and HR Dept. for EM
- Aid to Legal with signature for Agents and distribution agreements (legal)
- Work with HR for Interviews, bonus & car papers etc..
What Will Make You Stand Out
- Relevant professional diploma/degree
- Excellent verbal and written communication skills in English. German an advantage.

- Several years of experience in administrative or related roles, with experience supporting senior level executive desired.
- Strong team player with the ability to build relationships across and outside the organization.
- Demonstrated ability to handle a significant workload in a fast-paced environment.
